Summary
The Registration Specialist is responsible for assisting and executing tasks related to the registration process for attendees going to SCI/F events. This includes answering and directing incoming calls and email from attendees regarding the online registration process; and working directly with clients, vendors, and team members in-order to ensure excellent service throughout the event registration cycle.
All applicants should demonstrate an understanding of, and commitment to, hunting as an essential part of biologically sound and ethically responsible international wildlife management. The ideal candidate will have an existing knowledge of SCI’s current programs and mission and be passionate about hunter’s rights.
Responsibilities
- Assists in preparing, maintaining, and understanding the program promotion schedules
- Proofs registration materials for brochures, products, pricing, and promotions as needed
- Participates in pre-registration testing and assists in implementing registration processes both external and internal
- Process data entry, payments and provide confirmations for all registrations (received via mail, email, local & toll-free incoming calls)
- Fulfill registrations for complimentary badge and events for staff, EC, and vendors
- Maintain inventory for registration supplies and prepare/pack boxes for shipping to and from meeting locations
- Process correspondence and data entry for contracted labor, seasonal staff and vendors into registration and event planning software programs as required.
- Assist in training seasonal/temp staff with customer service, incoming registration calls, processing registrations, changes, refunds in the software program
- In coordination with Supervisor, presents and trains onsite temporary staff (registration agents, kiosk agents, info booth, greeters and tote bag/ribbon distributors)
- Act as Registration Line Supervisor for temporary staff registration agents. Ensure onsite temporary staff uphold SCI core values and member services. Keep temporary staff informed of any changes, updates, sold out events, etc.
- Resolve onsite registration issues in coordination with Supervisor
- Collect, maintain, organize and provide convention information manual for onsite information booth
- Provide ad hoc support to other Events Departments as needed
- Provide registration and event reports as required
- Perform other related duties as assigned. Attends meetings, other conventions and trade shows as appropriate to maintain professional contacts and/or represent SCI and SCIF.
- Online customer service chat representatives that multi tasks multiple conversation and
- respond to a variety of questions about convention or similar questions.
- Responsible for convention app for all description and bio updates as changes are presented.
- Perform other related duties as assigned. Attends meetings, other conventions, and trade shows as appropriate to maintain professional contacts and/or represent SCI.
Qualifications
- The position requires a High School diploma and 2 years of experience in sales, customer service, marketing or event/meeting planning.
- Prior cash handling experience
- Valid driver’s license with ability to be insurable on SCI policy
- Proven problem solving skills
- Proficient with Microsoft Office Suite software, to include OneDrive, SharePoint, Teams with an ability to become familiar with SCI-specific programs and software.
- Demonstrated excellence in verbal and written communication skills, interpersonal and customer service skills, organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
