Description
We’re seeking a highly organized Events & Marketing Operations Coordinator to split time evenly between external event coordination and internal marketing project support. This hybrid role will ensure seamless execution of trade shows, conferences, and MeatEater-sponsored events, while supporting marketing systems, workflows, and campaign logistics across our portfolio of brands.
Key Responsibilities
*Events & Trade Show Coordination (approx. 50%)
- Plan and execute all logistics for events including trade shows and internal sales meetings — vendor coordination, booth setup, travel, and on-site needs.
- Develop and manage event budgets, timelines, and vendor contracts.
- Design and order marketing materials, signage, swag, and collateral.
- Coordinate attendee registration, travel, shipping, insurance, and meals.
- Analyze event performance post-show — ROI, leads, feedback, and cost-per-lead.
*Marketing Operations / Project Management (approx. 50%)
- Support campaign execution across all channels by managing timelines, workflows, briefs, and deliverables.
- Collaborate closely with brand managers across the MeatEater portfolio to align on messaging, creative, and launch plans.
- Provide project management support for MeatEater retail stores as needed, including in-store marketing, signage, seasonal activations, and launch prep.
- Utilize and maintain PM tools — Smartsheet, Asana, MS Project, and Excel — to keep projects on track.
- Assist in creating dashboards, reports, and post-campaign recaps.
- Coordinate cross-functional communication with internal teams and external vendors.
- Continuously evaluate and improve marketing systems, tools, and processes.
Requirements
- 2–4 years in tradeshow/event coordination and/or marketing operations/project coordination.
- Proficiency in Smartsheet, Asana, MS Project, Excel (advanced functions like pivot tables/macros).
- Strong organizational, time-management, and detail-oriented approach.
- Excellent communication skills, verbal and written.
- Budgeting experience, contract negotiation, and vendor management.
- Ability to travel domestically (~20–30%) for events.
- Bachelor’s degree preferred (Marketing, Communications, Business, or related
Preferred
- Familiarity with CRM, email platforms, and marketing automation tools.
- Adobe Creative Suite basics.
- Data analysis/reporting experience (e.g., Google Analytics).
- Interest in outdoor lifestyle, hunting, fishing, conservation, and wild food aligned with MeatEater’s mission.
